This notice explains how Hotel Belvir processes the personal data of users who visit www.hotelbelvir.it, send a request for information or a quotation, or use the booking services.

1. Data controller

2. Personal data processed

Hotel Belvir may process the following categories of data:

  • identity and contact data, such as first name, surname, email address and telephone number;
  • request and stay details, such as arrival and departure dates, number of guests, number and ages of children, preferences and messages;
  • booking data required to prepare quotations, confirm stays and manage requested services;
  • technical and security data, such as IP address, browser and device information, logs and data used to prevent abuse, spam or unauthorised access.

Please do not include unnecessary information or special-category data, such as health information, in free-text fields unless it is essential for the requested service.

3. Purposes and legal bases

Personal data are processed in order to:

  • reply to requests for information, availability and quotations and take pre-contractual steps requested by the user;
  • manage bookings, stays, payments and other requested services in performance of a contract;
  • comply with administrative, accounting, tax, public-security and other legal obligations;
  • protect the website, IT systems and the controller’s rights and prevent fraud, spam and unlawful use, on the basis of Hotel Belvir’s legitimate interests;
  • establish, exercise or defend legal claims.

Data collected through the contact form are not used for promotional messages or newsletters unless separate, specific consent is requested in the future.

4. Provision of data

Providing data marked as mandatory is necessary to answer a request or provide a service. Failure to provide these data may make it impossible to prepare a quotation, check availability or complete a booking. Other data are optional.

5. Processing methods and security

Data are processed electronically and, where necessary, on paper, in accordance with the principles of lawfulness, fairness, transparency, minimisation and confidentiality. Appropriate technical and organisational measures are used to reduce the risk of loss, unlawful use, unauthorised access or disclosure.

Personal data are not publicly disclosed and are not subject to solely automated decisions that produce legal or similarly significant effects.

6. Recipients

Data may be processed by authorised Hotel Belvir personnel and, where necessary, disclosed to:

  • website, hosting, email and technical-support providers;
  • MyGuestCare / MyCompany, used for availability requests, quotations and bookings;
  • payment, accounting, tax, legal or insurance providers where relevant;
  • public authorities, law-enforcement bodies or other recipients where disclosure is required by law.

Providers that process data on behalf of Hotel Belvir are appointed as processors where required by law.

7. Transfers outside the European Economic Area

Some technical providers may process data in countries outside the European Economic Area. In these cases, transfers are based on an adequacy decision by the European Commission or on another safeguard recognised by Regulation (EU) 2016/679, including standard contractual clauses where applicable.

8. Retention

Information and quotation requests are retained for the time required to reply and manage any subsequent contact. Booking, payment and administrative records are retained for the periods required by civil, accounting, tax and public-security rules. Technical and security data are retained only for as long as necessary to protect the systems and handle anomalies or disputes.

At the end of the applicable periods, data are deleted or anonymised unless further retention is necessary to establish, exercise or defend a legal claim.

9. Your rights

Where provided by Regulation (EU) 2016/679, you may request access to, rectification or erasure of your data, restriction of processing, data portability and objection to processing. You may also withdraw any consent at any time without affecting the lawfulness of processing carried out before withdrawal.

Requests may be sent to booking@hotelbelvir.it. You also have the right to lodge a complaint with the Italian Data Protection Authority.

10. Third-party services and websites

The website may link to external services, including the MyGuestCare booking system. When you continue to a third-party website or service, any processing carried out directly by that provider is governed by its own privacy notice.

11. Updates to this notice

Hotel Belvir may update this notice to reflect legal, technical or organisational changes. The current version is published on this page.
